Strategize: Get Your Attendees Come on Time During Events



To event organizers, chronologically late attendees give too much stress. Late comers waste the time of early birds and destroy the flow of the event.

Here are considerations to encourage attendees to come on time during special events, and to treat punctuality a top priority:

Survey or Poll

To make sure that attendees feel that they are responsible for the call time, create a poll or survey wherein they suggest the most convenient time they are coming in to the venue.

 SMS Reminder

If attendees use Facebook, you may send them private messages reminding them of the event. You may send them emails if their mode of communication is email. If you have their mobile numbers, send them an SMS literally hours before the event.

Experiment with the Time

You do not have to set the call time at 8:00. Sometimes, it would be fun if you set it at 8:01 or 8:03.

No Cold Morning Call Time

It is a fact that no one wants to wake up at 3 in the morning to attend an event at 5, unless it is a breakfast meeting or a sunrise escapade.

30 Minutes Earlier

When you are expected to gather your attendees at 12:00, set your call time at 11:30 especially if you know that your attendees are coming from far areas.

Rewards for Early Birds

Instead of focusing on the tardy people, reach out to those who are punctual. Prepare free coffee or juice for those who will come on time. Another reinforcement strategy is to praise them during the event for coming on time, then give them material things as a reward.

Free Shuttle

If your company has a shuttle, it would be nice to fetch them from convenient pick up points. If you have transportation budget, you may also tell them that they can take a cab.

Provide instructions on how to get to the venue

One of the major reasons why attendees are late is because they take some time to find the venue. Remind them to use Google Maps, and recommend a route to easily reach the venue.


Being consistent in not tolerating tardiness is the key. As long as attendees know that you are an organizer who frowns at people who care less about punctuality, they will always remember to come to your events on time.
